Production Coordinator

  • Remote

Job description

Role Overview

Zack D. Films is seeking a Production Coordinator to manage and optimize both long-form and short-form video pipelines. Reporting to the Operations Manager, you’ll be accountable for publishing one high-quality long-form video every week while ensuring the short-form pipeline delivers 30 videos weekly at increasing speed.

This isn’t just coordination, it’s ownership. You’ll design, maintain, and refine systems that give us 8-week forward visibility, prevent last-minute bottlenecks, and keep contractors aligned and motivated. You’ll balance strategic pipeline design with hands-on execution, ensuring deadlines are hit consistently and sustainably.

🎯 Purpose

You’ll deliver production systems that:

  • Publish 52+ long-form videos per year with no missed weeks.

  • Maintain 8-week forward visibility on the long-form pipeline.

  • Ensure 35 short-form videos per week move through the pipeline faster, especially animation.

  • Identify bottlenecks 6–8 weeks in advance, not 2 days before we publish.

  • Keep contractors coordinated, respected, and consistently meeting deadlines.

  • Stabilize or improve cost per delivered asset.

✍️ Responsibilities

  • Lead the long-form video workstream, ensuring one high-quality video is published weekly.

  • Maintain and update the 8-week long-form production plan.

  • Manage the short-form pipeline, tracking 30 weekly videos through all stages.

  • Conduct daily follow-ups with animators, editors, ideators, and contractors.

  • Identify upcoming bottlenecks and resolve them before they escalate.

  • Coordinate with the COO on system/process changes to improve speed.

  • Keep Airtable and related systems accurate, clean, and operationally useful.

  • Balance short-term execution with long-term planning to prevent last-minute firefighting.

Ultimate Responsibility: Reliable, on-time delivery of long-form and short-form video output without creating operational stress elsewhere in the company.

❤️ You’ll Love This Job If…

  • You enjoy being the person who makes complex systems actually work.

  • You take pride in hitting deadlines week after week.

  • You thrive on coordinating many moving parts across time zones.

  • You care about YouTube, animation, and content creation.

  • You prefer execution and clarity over ambiguity and ideation.

🙅  You’ll Hate This Job If…

  • Deadlines stress you out.

  • You dislike following up with people repeatedly.

  • You need creative ownership to stay motivated.

  • You don’t enjoy operational detail.

  • You struggle working asynchronously with global teams.

💰Compensation

  • Salary starting at $80,000

  • Permanent, full-time role.

    • W2 for US based candidates
